Handshake and IRIS

Post available positions in Handshake, Reed's online career platform, and manage hiring through IRIS, Reed's password-protected website for community members.

Approving Timesheets 

Student work supervisors are required to review and approve timesheets in Employee Self-Service (ESS). View the Supervisor Time Approval User Guide to learn how to approve timesheets in ESS.

If you do not have access to HireEm or ESS, please email payroll@reed.edu for assistance. In your email, please reference the account (ORGN) that you are using to pay your employee.

Posting a Job

Student work opportunities are posted in Handshake, a software managed by the Center for Life Beyond Reed. Hiring, terminating, and other job changes are completed using the HireEm-Student Work application in IRIS, Reed's password-protected website for community members.

Follow these steps to post job opportunities and hire student workers:

  1. Sign up for a Handshake employer account if you do not already have one. Refer to the Handshake Employer Help Center for questions about navigating Handshake.
  2. Request to join “Reed College Student Work” as the employer when prompted. 
  3. Once you have been approved to join the account, you will receive an automated email to move forward with posting your position(s). 
  4. Follow the Handshake job post instructions to post your job opportunity. The request for the position will then go through an approval process through the Student Work Office. Once the request is approved, you will receive an automated email confirmation. 
  5. Once you have selected students to hire, the next step is to hire the student(s) in HireEm. For detailed instructions on hiring students, view the HireEm user guide.

Hiring International Students

International students are defined as students who are attending Reed on F-1 or J-1 student visas.

International students are eligible for on-campus employment and may work up to 20 hours per week during the academic semester, and up to 40 hours per week during breaks.

International students must apply for a social security number once they have received an offer of on-campus employment. When an international student is hired for the first time on campus, the following process must be completed:

  1. Supervisor requests to hire the student in the HireEm-Student Work application in IRIS (same process as for a domestic student).
  2. Once a student is offered a job, they should call the Social Security Administration at 1-888-632-6990 to make an appointment to apply for a social security number (SSN).
  3. Students will receive an email from payroll indicating that they need to fill out hiring paperwork, and will need to provide copies of their I-20 or DS-2019 and Visa.
  4. Once the hiring paperwork is complete and the student has scheduled their SSN application appointment, the student must email the payroll office at payroll@reed.edu and let them know when the appointment is. Once payroll receives this information, they will continue the hiring process and notify the student that they may begin working.
  5. The payroll office will prepare the letters that the student will need to take to the SSN appointment. Payroll will email the student when they are ready to pick up in Eliot 306.
  6. At the Social Security Administration office, the student will receive a letter stating that they have applied for the SSN. The student then has three days to return that letter to the payroll office. If the student does not return that letter to the payroll office, the student’s supervisor will be notified that the student must stop work until the SSN letter is submitted to the payroll office.
  7. Once the student receives their SSN card by mail, they must bring the card into the payroll office so they can record the number into the system.
